Configuration of a journal mailbox in MS Exchange 2019 for the operation of a UMA

Preliminary remark

To operate the UMA, a journal account must be created on the Exchange server. All emails that pass through the mail server, both incoming and outgoing, should be copied to the journal account so that the UMA can then retrieve and archive them from the account via IMAP.

These configurations are carried out directly on the mail server.

This section only provides a brief overview. Further information can be found in the MS Exchange documentation.




IMAP settings

Set the authentication method of the IMAP server

Text-only registration must be activated for registration.

Change the start type of the service

The Microsoft Exchange services IMAP4 and IMAP4-Back-End must be restarted to apply the change to the authentication method and should be started automatically in future:
  • Call Server Manager / tool Computer Management / menu Services and Applications / submenu Services
  • Entry Microsoft Exchange IMAP4
  • Context menu (by clicking with the right mouse button on this entry)Fig.3
  • Menu item Properties
  • General tab / select the value Automatic in the drop-down menu of the Start type field Fig.4
  • Click on Start
  • complete with Apply

The same settings must also be made for the Microsoft Exchange IMAP4-Back-End service.Fig.5 & 6

Creating the mailbox

A new mailbox must be created on the Exchange administration console from which the UMA can collect the emails.

  • Click on to create a new user mailbox
  • An alias, a display name and a name must be entered in the window that now opens Fig.8
  • A user login name and password must be entered.
    This data will be used later in the UMA.

Adding a new journal rule

Exchange 2019 provides the following journal options
  • Default Journals Default journals are configured for a mailbox database. This allows the Journal Agent to capture all messages in journals that are sent to and from mailboxes in a specific mailbox database. If all messages to all recipients and from all senders are to be recorded in journals, you must configure journals for all mailbox databases on all mailbox servers in the organization.
  • Premium journals Premium journals allow the journal agent to create journals with greater granularity using journal rules. Instead of recording all mailboxes in a mailbox database in journals, you can configure journal rules to record individual recipients or members of distribution groups in journals according to your organization's requirements. An Exchange Enterprise Client Access License (CAL) is required to use the Premium Journal feature.

Adding a new default journal rule

  • Call Exchange Management Console
  • Menu Server
  • Submenu Databases
  • Call up Edit by clicking on or double-click on the database
  • Maintenance menu Fig.10
  • Select the name of the user just created for the UMA user mailbox as the Journal recipient
  • Apply the details with Save

Adding a new premium journal rule (with Exchange Enterprise CAL)

  • Switch to the Compliance management menu in the Exchange management console Fig.11
  • Submenu Journal rules
  • Open the window for setting up a new journal rule with
  • The UMA user mailbox that has just been created is entered under Send journal reports to: (see above). Fig.12
  • Enter a name for the rule
  • As the rule should apply to all recipients, the option [Apply to all messages] must be selected under When sending the message to or receiving the message from...
  • Furthermore, the rule should be applied to all messages, regardless of origin or destination, so the option All messages must be selected under Record the following messages in the journal ...
  • Complete the creation of the journal rule by clicking Save




After creating one of the two journal rules, all messages/emails are copied to the newly created mailbox, where they can be retrieved by the UMA via IMAP.


Configure UMA

The successfully created account in the exchange server must now be stored in the UMA:

  • Protocol: Auto always tries a retrieval via IMAP first and then with POP3
  • Keep Mails Should only be activated during the setup phase. Otherwise the mailbox will fill up sooner or later
  • SSL: Activation required for communication with an Exchange Server
